Filing a budget request for Mozilla Events is not an easy task for most of the reps, It need rigorous planning and analysis of certain and uncertain expenses. One should be careful while planning a budget request, As most of the budget request are rejected because of unstructured, ambiguous and imprecise breakdown of expenses.
* Note: A budget request can be submitted by any Mozilla Reps who have signed Mozilla Reps agreement under Mozilla Reps Programme.
Thanks to @Debloper (Soumya Deb) for inspiring me to write a blog about budget breakdown. So in this post i will show you how to write an efficient budget breakdown for Mozilla Event .I’ll be focusing on writing budget breakdown, for more information about budget filing procedure , please visit this blog by Regnard Requedan.
Budget Breakdown provide transparency to your budget request, The more you break your budget, the more will be chance of getting approved.
Budget breakdown should be precise, transparent and up to the mark, A typical budget request has many factors that should be Plotted. Some of them are listed below:
- Travel Expenses:
So before starting actual budget breakdown, you should prepare a list of invitees who will be attending your event and need Mozilla’s sponsorship. You should mention following details:
- Mozilla Reps Attending your event.
- Mozillians attending your event.
- Others(Non-Mozillians) attending your event.
This will help your mentor and council to decide worthiness of your request.
Traveling is very crucial part of your budget request, The cost may vary depending on medium of transport( via air, train, bus) and also on time and availability. So confirm traveling fares first with respect to time and availability. It also important to check for local transport expenses,as in India you’ll not find receipt from Auto-rickshaw or sometimes in buses also. So keep this in mind as Mozilla will not consider any expenses without proper receipts/bills.Mention following details in travel expense section:
- Who will be traveling?
- Origin or source(city) of commuter.
- Destination city.
- Travel medium(Via Air/Train/Bus).
- Individual cost of each commuter.
- Local transport cost, eg: Cab/Bus/Metro etc.
Note: In case of journey via Air , be careful about fares as they are constantly changing with time, better to book it asap.
For railways, fares are constant, but fares for buses are also change with time in some regions, so be prepared.
So now you need accommodation for your invitees, Choosing a good hotel near your event venue will be great thing and saves money and time. In this section you can mention following details:
- Who will staying?
- For how many days?
- Where?(Hotel name if possible.)
- Will they share room?
- Type of room.
- Cost per day.
Food will be a delicious inclusion , Depending on your regions you’ll find some pretty good restaurant serving awesome cuisines.
Breakdown of food expenses are pretty simple, just get some statistics from nearby restaurants.
in Meal section mention:
- How many persons need meals?
- For how many time i.e Breakfast, Lunch Dinner?
You can put a lumsum amount for food so no need to write “Restaurant-Menu” in request.
You will need stationary items like pens, notepads, papers etc for event, they are not much expensive so you can directly put approximate cost for stationary items.Better to request
Well For a good event you need a good venue, In most of the cases Mozillians easily got venue sponsors like colleges, Institutes etc, But sometime you need a paid venue like conference halls,so in that you need to mention cost of venue as well,
Mention following things if it is a paid venue:
- Venue Name and location
- Total expense for venue (include electricity, audio/visual,service etc charges).
It will be great thing if you’ll get some sponsors for your event, You should be clear about sponsorships(specially when it is a financial sponsorship) to Mozilla Event. It is recommended that you should inform council and your mentor if you are getting any type of financial sponsorship.Mention following points in this section:
- Name of sponsor.
- Amount Sponsored.
Well i am sure still there are so many things for which you need financial assistance from Mozilla, So better include it in this section, What I have found in so many cases , Reps create some regional stuff for event like Custom Banners, I cards, Flags, Flyers,Posters etc etc. So please mention these things here, it is solely depends on Mozilla interest to sponsor for certain things or not eg. If you want to print some custom swag, it is recommended that it should be verified by Mozilla for preventing Brand abuse. Please read this post for more clarification over customized swag
So, In conclusion I hope this post will help Mozilla Reps for efficient writeup of their Budget Breakdowns moreover It will also help Mozilla Council and mentors to evaluate budget requests conveniently . Please note ,It is not a standard format for budget request by Mozilla, but a small initiative by me to help Mozilla Reps for enhancing approval chances of their budgets requests.
Wish You a Promising Event Ahead!
